VILLA TOLOMEI HOTEL&RESORT ? FIRENZE
Prestigiosa struttura alberghiera 5 stelle immersa nelle colline fiorentine, è alla ricerca di una Persona da inserire all'interno del proprio reparto Ricevimento.
La struttura accoglie una clientela nazionale e internazionale e si distingue per un modello di ospitalità orientato all'eccellenza del servizio, all'attenzione verso l'ospite e alla collaborazione tra i diversi reparti.
La Persona selezionata entrerà a far parte di un team impegnato in un percorso di crescita organizzativa volto a valorizzare la qualità dell'accoglienza e l'esperienza complessiva degli ospiti.
PRINCIPALI RESPONSABILITÀ
? Accogliere gli ospiti con professionalità e cortesia durante tutte le fasi del soggiorno;
? Gestire le operazioni di check-in e check-out;
? Fornire informazioni e assistenza agli ospiti durante la permanenza in struttura;
? Gestire prenotazioni, richieste e comunicazioni telefoniche ed elettroniche;
? Collaborare con Housekeeping, Manutenzione, Ristorazione e Direzione per garantire un servizio efficace e coordinato;
? Utilizzare il gestionale alberghiero e gli strumenti informatici dedicati all'attività di Ricevimento;
? Contribuire al mantenimento degli standard qualitativi della struttura.
REQUISITI RICHIESTI
? Esperienza maturata, anche di breve durata, all'interno del Front Office di strutture alberghiere;
? Buona conoscenza della lingua inglese;
? Gradita conoscenza di una seconda lingua straniera;
? Ottime capacità relazionali e comunicative;
? Attitudine al problem solving e alla gestione delle priorità;
? Predisposizione al lavoro di squadra;
? Forte orientamento all'ospite e alla qualità del servizio.
COSTITUISCONO TITOLO PREFERENZIALE
? Esperienza maturata in strutture alberghiere 4 o 5 stelle;
? Conoscenza del PMS Scrigno;
? Esperienza in contesti caratterizzati da clientela internazionale.

What You'll Do
- Welcome late-night guests and create a safe, relaxed atmosphere
- Handle check-ins, payments, reports and night processes with accuracy
- Keep the lobby clean, organized and comfortable throughout the night
- Support guests with questions, special requests and unexpected issues
- Monitor the building and flag anything unusual or urgent
- Prepare morning handovers and share guest insights with the day team
- Work closely with Housekeeping and Maintenance when needed
- Promote The Social Hub spaces and experiences when relevant
What You'll Have
- You have 1-3 years of experience in hospitality or a similar guest-facing role
- You bring a calm, friendly presence that makes guests feel safe at night
- You're comfortable working night shifts on a regular schedule
- You're proactive, reliable and great at solving things independently
- You handle quieter hours and busy moments with the same steady energy
- You're comfortable using digital systems like PMS, kiosks and messaging tools
- You communicate clearly in English and Italian
- You're a team player who gives clear handovers and supports smooth operations

E tu, di cosa ti occuperai?
- Gestione dell'intero processo di prenotazione, fornendo una consulenza personalizzata per soggiorni termali, pacchetti wellness e trattamenti spa via telefono, email e canali digitali;
- Elaborazione preventivi e conferma prenotazioni in accordo con le politiche aziendali, gestendo contrattualistica, logistica, eventuali modifiche, cancellazioni e richieste speciali;
- Coordinamento di tutti gli aspetti relativi alla prenotazione o agli eventi, interfacciandosi costantemente con tutti i dipartimenti coinvolti (es: Revenue);
- Attività di scouting per nuove opportunità di vendita, upselling (monitorando disponibilità e occupazione) e cross-selling di altri servizi (es: ristorazione, esperienze locali).
Stiamo cercando te se:
- Hai maturato 1-2 anni di esperienza in ruolo analogo in hotel 5*, resort termali o spa di lusso;
- Conoscenza di pacchetto Office, PMS (es. Opera, Protel) e canali OTA;
- Sei a tuo agio a contatto con il pubblico e hai buone capacità comunicative;
- Hai un'ottima padronanza della lingua inglese, scritta e parlata;
- Centri l'obiettivo, fai gioco di squadra e lavori per fare l'ospite felice!

BREVE DESCRIZIONE DEL RUOLO
Il Reservation Executive si occupa di tutte le fasi della prenotazione, dall'accoglienza della
richiesta al corretto inserimento dei dati e dei pagamenti, contribuendo attivamente alla
soddisfazione dei nostri ospiti e al successo commerciale dell'hotel ed assicura che ogni
prenotazione venga processata in linea con gli standard aziendali.
RIFERIMENTO GERARCHICO
Riporta a: Reservation Manager
PRINCIPALI MANSIONI E RESPONSABILITÀ
Gestione Completa delle Prenotazioni:
● Rispondere e processare tutte le richieste di prenotazione (telefono, e-mail, web) entro
24 ore, garantendo l'accuratezza dei dati, dei pagamenti e delle condizioni.
Mantenimento Dati e Sistemi:
● Aggiornare i profili ospiti sul CRM, gestire allotment, gruppi e tariffe, e mantenere
aggiornate disponibilità e prezzi su tutti i canali (PMS/CRS, OTA, GDS). Gestione
Commissioni Onyx
● Aggiornamento dei portali (es. nuove immagini etc.)
Supporto Commerciale e Operativo:
● Collaborare alle campagne di upselling, effettuare follow-up su prenotazioni pendenti e
coordinarsi con Front Office e F&B per richieste speciali o gruppi.
● Mantenere relazioni con i travel agents
Conformità e Monitoraggio:
● Assicurare il rispetto delle normative GDPR e segnalare eventuali anomalie o discrepanze
al management.
● Assicurare il rispetto degli standard di servizio di Relais & Chateaux e Borgo Pignano.
Sviluppo Continuo: Partecipare attivamente a briefing e formazioni per restare aggiornato su
prodotti e procedure.
