Our client, specializing in the design and delivery of meetings, incentives, conferences, and events is seeking for a Senior Event Manager DMC.
Responsibilities
Key Responsibilities
- Respond promptly and professionally to Requests for Proposal (RFPs), developing creative and competitive solutions tailored to client objectives.
- Prepare customized proposals, presentations, itineraries, and cost estimates based on client requirements, budget parameters, and travel periods.
- Maintain extensive knowledge of destinations, venues, hotels, restaurants, transportation services, and experiential activities throughout Italy.
- Build and strengthen relationships with local suppliers and partners while continuously identifying new products and services to enhance client offerings.
- Actively follow up on proposals and business opportunities to maximize conversion rates and revenue generation.
- Manage contract negotiations, confirmations, and deposit collection with clients and suppliers.
- Serve as the primary point of contact during the planning phase, ensuring clear communication and efficient coordination among all stakeholders.
- Develop and maintain comprehensive operational documentation, including itineraries, rooming lists, transportation schedules, supplier briefings, and event timelines.
- Coordinate all logistical aspects of groups, meetings, incentives, and events to ensure seamless execution.
- Manage on-site operations, overseeing service delivery and resolving any issues in a professional and timely manner.
- Prepare final client invoicing, monitor outstanding payments, and reconcile supplier costs.
- Conduct post-event reviews, gather client feedback, and identify opportunities for continuous improvement.
Your Profile
Qualifications & Experience
- Secondary education required or a degree or professional qualification in Tourism, Hospitality, Events Management.
- Previous experience within a Destination Management Company (DMC), event agency, hospitality organization, or tourism-related environment.
- Strong project management and organizational skills, with the ability to manage multiple projects simultaneously.
- Excellent client-service orientation and stakeholder management capabilities.
- Commercial mindset with experience in sales support, proposal development, or business conversion activities.
- Ability to work both independently and collaboratively in a fast-paced international environment.
- Proficiency in Microsoft Office Suite and Microsoft 365 applications.
- Excellent written and verbal communication skills in English; additional languages are highly valued.
- Flexibility to travel and provide on-site support during events and group operations when required.
- High attention to detail, problem-solving attitude, and ability to perform under pressure.
